Capture and manage your information

Take the step to the intelligence of your processes, extract your documents to be classified.

We provide the flexibility to offer a solution to your complex document flows, allowing you to capture information from your documents with a scanner to digitize, index and connect with any workflow available in the different systems of the organization (ERP, CRM, DMS, etc.).

Now your documents
will go through this process

Main functions

Identifies where the documents come from (scanner, folder, e-mail, etc.) and how additional Metadata information that is related to the document should be extracted/included.

Determines what should be done to the captured document. This includes the ability to perform barcode reading, text recognition, conversion to other file formats and much more.

Define where your new digital workflows will go. Storage can be in a network folder, a database such as an e-mail attachment, a cloud storage such as Dropbox or Google Drive, or a document management system such as SharePoint, DocuWare or our own document management systems. SMARTKER

Why Capture with Aivika?

Capture files directly from Windows and Outlook

It additionally includes all the tools to capture documents that are available on the hard disk, email, USB, user’s screen, etc.

Features

Allows you to select with the mouse one or several documents within a folder and send them to ScannerVision for processing. Alternatively, you can drag these documents into the Aivika window. The work experience is similar to processing a paper document directly from the MFP, by selecting a workflow.

Print to Scannervision allows you to send documents to the ScannerVision server from any application that supports Windows printing. This means that you can send any document or information contained on the screen, as if you were going to print it, select the assigned workflow and include the necessary metadata for it to be processed automatically.

Not all documents are the same, which is why this system allows different workflows to use any of the 2 OCR engines included (Nuance Omnipage and Lead Tools). It is possible to select a specific OCR engine for each workflow used.

The use of bidirectional connectors makes it possible to scan in real time the directories available in third-party applications, as well as the ability to generate selection lists on the MFP screen based on the information contained in these systems.

Extract information from 1D and 2D barcodes to be used as metadata within a process. Additionally, it is possible to specify advanced settings for reading and interpreting bad barcodes. The process engine itself allows the use of sample data, which is extremely useful during the generation of expressions in our editor.

SEE offers full use of regular expressions to be able to extract certain information from an unstructured document or even modify the metadata before it is used. SEE is also able to offer a real-time preview of the result of the expressions you formulate when using conditionals in your expressions!

The Outlook plug-in included with Aivika Capture Pro allows the user to select the email attachment and send it to ScannerVision for processing directly from Outlook, selecting the workflow(s) that have been assigned to the user who is processing from Aivika.

From an Android device, the Aivika app allows you to access documents stored on the device, or use the camera to capture a document, pre-process the image by either rotating or cropping the image, before sending it directly to the ScannerVision server, selecting the workflow assigned to the user and allowing them to include the necessary metadata to be processed automatically.

The forms recognition option is responsible for automatically classifying different types of documents and easily extracting the information required in that document. There is no need to create different categories of documents, the form recognition system will take care of this job automatically, all much faster and simpler.

Automatically captures data from specific zones of the document. The possible zones support 4 different OCR types, Zonal OCR, ICR, MICR and OMR. All zone types can be configured at the same time in the same user interface. When generating an OCR template we can use a sample document that is stored within the template itself. It is possible to assign names to the zones to be captured, making identification within the process much simpler.

Execute any file-oriented task quickly and easily, such as communicating with document management systems or directly transmitting files between folders. You can capture document information directly from one or more MFPs to a web environment or third-party applications in a direct and controlled manner.

We can now decide when a step within the ScannerVision workflow should be executed through the use of conditions. Conditions can be based on the presence of a single word in the document or on whether a value is equal to, greater than or less than another, and so on. Any metadata extracted from the document can be used, no matter if it comes directly from the OCR engine, from a barcode.
